Abstract

The cooperative convenience store of PT Citra Sembawa serves employee purchases through a salary-deduction mechanism, yet its transaction recording and deduction recap were still handled manually with handwritten notes and periodic sheets. This condition caused slow service, repeated calculations, unclear receivable status, stock data that could not be monitored directly, and the risk of billing errors. This study aimed to design and test a Microsoft Access-based cooperative store information system that supports sales transactions, employee data, item inventory, and biweekly salary-deduction reports. The study used a descriptive qualitative applied approach. Data were collected through observation of store operations, semi-structured interviews with cooperative staff and managers, and documentation of transaction notes, stock records, and salary-deduction recap sheets. The development process covered requirements analysis, system design, implementation in Microsoft Access, and functional testing using the black box method. The resulting system consists of five integrated tables, two queries, six forms, and one report. The system records item and employee data, stores transaction headers and details, calculates purchase totals automatically, updates stock records, marks deduction status, and generates deduction recap reports by period. Black box testing of six main features showed that all tested functions produced the expected outputs. The system reduced the recap process from approximately two working days to minutes and provided a practical desktop solution for a small cooperative environment.
